Platform terms of use

Terms of Use

Last updated: October 6, 2026

These Terms of Use govern access to and use of GeZap, including scheduling, service management, campaigns, digital communication, integrations, authentication, and audit features. By accessing the platform, the user acknowledges these conditions.

1. System access

Access to GeZap is allowed only to users authorized by the contracting company. Permissions, access profiles, and internal responsibilities are defined by the company environment administrators.

Users must keep their credentials protected and must not share passwords, temporary codes, authenticated sessions, or any other access mechanism.

2. User responsibilities

  • Use the system only for legitimate and authorized purposes.
  • Enter accurate information and respect customer, professional, and third-party data.
  • Follow the internal policies of the contracting company.
  • Be responsible for actions performed through the user account.
  • Report improper access, suspected fraud, or unauthorized use.

3. Prohibited conduct

  • Perform illegal acts or violate applicable regulations.
  • Attempt to access information, routes, integrations, or data without authorization.
  • Enter false, offensive, misleading, or unauthorized third-party data.
  • Use external automations, bots, or unauthorized integrations.
  • Interfere with the security, availability, or operation of the platform.

4. Scheduling, services, and records

GeZap allows companies to create and manage appointments, sessions, resources, professionals, services, customers, campaigns, and notifications. The contracting company is responsible for checking information, schedules, confirmation policies, cancellations, permissions, and configured operational flows.

5. WhatsApp, email, and other communication channels

The system may send messages, reminders, confirmations, campaigns, emails, and notifications through external channels. Users and the contracting company are responsible for the content sent, for obtaining consent when required, and for complying with provider rules.

Meta, WhatsApp, Google, GitHub, Facebook, email providers, and calendar services have their own policies, technical limits, risk reviews, and independent decisions.

6. WhatsApp Business use

Improper use of messaging integrations, including spam, abusive approaches, content that violates platform policies, or unauthorized automations, may result in restrictions applied by the provider.

GeZap does not guarantee the maintenance, approval, reputation, availability, or continuity of numbers, accounts, sessions, templates, or channels maintained by third parties.

7. Social authentication

The system may allow authentication through social providers such as Google, Facebook, and GitHub. Users can revoke social links under User > My Settings. Public instructions are available at Social Data Exclusion.

8. Audit, security, and traceability

The system may record actions, access events, changes, authentication attempts, integration events, and relevant operations. These records support security, traceability, support, fraud prevention, and operational compliance.

To strengthen access protection, the system offers two-factor authentication (2FA). When enabled, a temporary code from an authenticator app is required at each login. Keeping 2FA enabled and safeguarding your credentials and authenticator device is recommended.

9. Availability and updates

GeZap may undergo updates, improvements, scheduled maintenance, or emergency adjustments. We seek to keep the platform available and stable, but we do not guarantee uninterrupted operation or a complete absence of failures.

10. Intellectual property

The GeZap brand, interface, software, workflows, layouts, texts, features, integrations, and technical elements are protected by intellectual property rights. Use of the system does not transfer ownership to the user.

11. Privacy and data protection

Personal data processing must follow GeZap's Privacy Policy, the contracting company's settings, and applicable law. Users must process data responsibly and only for authorized purposes.

12. Suspension or revocation of access

The company environment administrator may suspend, change, or revoke access at any time, especially in cases of termination, role changes, suspected misuse, violation of these terms, or security needs.

13. Plan termination and data retention

When a subscription is cancelled, access remains available until the date shown at the moment of cancellation. From that date, the company data is still kept for a further 60 calendar days, during which the subscription can be resumed with no loss of information.

Once that period ends, operational data and stored files, such as images, documents and media exchanged in conversations, become eligible for permanent discard. The discard is irreversible: once carried out, the content cannot be recovered.

Fiscal documents and records the law requires us to preserve follow their own legally defined periods and are kept regardless of the plan ending. We recommend exporting everything you wish to preserve before the retention period expires.

14. Prices and adjustments

Plan prices, included monthly allowances and one-off credit pack prices may be adjusted at any time. A significant part of the service cost comes from external artificial-intelligence and message-delivery providers, whose prices change at their discretion and without prior notice to us.

An active subscription keeps the price and conditions agreed at signup for as long as it stays active. An adjustment applies to new subscriptions and to renewal, and is communicated before it is charged.

Credit already bought in a one-off pack does not change value after purchase: the amount credited is the amount contracted, regardless of later adjustments.

15. Artificial-intelligence credit consumption

The electronic secretary is an artificial-intelligence feature. Every conversation it handles consumes AI credit from the contracting company's account, no matter who wrote the message: a client or patient, a professional, or a user of the contracting company itself, including when that user is only asking a question about the system or reporting a problem.

The reason is how the feature works: the conversation happens on the contracting company's own WhatsApp connection and is answered by the secretary that company configured, inside its own environment. There is no service outside that connection to which the cost could be directed.

There is no separate charge and no separate allowance for support conversations with the secretary: they draw on the same monthly allowance and the same one-off credit packs used to serve clients and patients.

GeZap human support does not consume AI credit. An answer written by a person on the team, e-mail exchanges and support case notifications do not draw on the contracting company's allowance. When a case opened in the panel receives an automatic answer generated by artificial intelligence, that answer consumes credit like any other AI use; the human handling that follows does not. To reach the team with no credit consumption at all, use the e-mail channels listed in the footer.

16. Service through Instagram and Facebook Pages

The contracting company may connect to GeZap Instagram professional accounts and Facebook Pages that it owns or administers, to receive and answer its customers' messages through those channels. By connecting them, it authorizes GeZap to access those accounts and Pages, within the limits of the Meta permissions it granted, only to operate the contracted service. The company may disconnect any account or Page at any time, through the GeZap panel or by removing the app in Meta's settings.

The contracting company is responsible for:

  • The content sent in its name through those channels, including the replies the secretary generates from the settings and instructions it defined.
  • Complying with the Meta terms and policies that apply to Instagram and Facebook.
  • Holding ownership of, or administration rights over, the connected accounts and Pages.
  • Having a legal basis, under the LGPD, to process its contacts' messages and informing them as the law requires.

On those channels, the artificial-intelligence secretary replies in the contracting company's name and identifies itself to the contact as an automated service. The company must not configure it to hide that identification or to pose as a person. GeZap does not send promotional messages through those channels and never starts a conversation: service always begins with a message sent by the contact.

GeZap keeps the content of conversations and attachments as the contracting company's data processor, under the retention policy the company configured, and deletes the access tokens when the account or Page is disconnected, when the app is de-authorized in Meta's settings or when the company's account is cancelled. Details in the Privacy Policy.

17. Changes to these terms

These Terms of Use may be updated to reflect legal, operational, technical, commercial, or functional changes. The current version will always be publicly available on this page.

If you have questions about system use, contact the administrator responsible for your access or reach the GeZap team through the channels listed in the footer.
